Payroll

Overview
Payroll takes the hours Attendance already approved and turns them into salary, tax and contributions. The important word is already: because the hours were reconciled and signed off upstream, payroll is a calculation rather than an investigation, and the arguments happen before the money moves rather than after.
Compliance is handled as part of the run rather than as a separate exercise. FSS reporting, FS3 and FS5 returns and tax rate updates are built in, and the statutory documents are generated from the same data the payslips came from.
Payroll Run
A run can cover multiple companies and multiple pay frequencies in one process, which matters if you operate several entities or pay some staff weekly and others monthly. The run reads approved attendance, applies the rules, and produces the figures for review before anything is issued.
Approve the attendance week first. A run against unapproved hours will complete, but you will be correcting it afterwards.
Payslips
Payslips are issued to employees through the portal and the app rather than printed and handed out. They stay available, so the request for a payslip from four months ago is answered by the employee rather than by HR.
VOPS
VOPS covers voluntary occupational pension scheme contributions, calculated as part of the run rather than adjusted afterwards, so the payslip and the contribution record agree.
Tax Arrears
Tax Arrears tracks what is outstanding, schedules recovery across periods, and reports on the position. Because it is scheduled rather than deducted in one go, the employee sees a predictable figure each period.
Advances
An advance is recorded against the employee and recovered across subsequent periods according to the schedule you set. Recording it here rather than as a manual adjustment is what keeps the recovery from being forgotten.
FS3 & FS5
FS3 and FS5 returns are generated from the payroll data itself rather than reassembled at year end. If the runs were correct through the year, the returns follow; if they were not, this is where it surfaces.
COLA
COLA sits under year management and applies the annual cost-of-living adjustment across the workforce. Applying it centrally rather than per employee is what stops a handful of people being missed.
Contracts
Contracts holds the approval and the record behind each engagement: what was agreed, when, and by whom. Payroll reads from it, so a contract change and a pay change stay in step.
Bulk SEPA Payments
Bulk SEPA produces a single payment file for the run, in the format the major banks accept. It replaces the part of payroll day that used to be a person and a spreadsheet and a banking portal.
XML Files
The generated transfer files are retained rather than discarded after upload, so a payment can be traced back to the exact file that carried it.
HCM Documents
Document management keeps contracts, certificates, licences and their expiry dates against the employee record. The value is the expiry tracking: a licence that lapses unnoticed is a compliance problem, and this is what surfaces it in advance.
Position Structure
Position Structure records the shape of each role and each person's progression through it, including positions dated into the future. A promotion entered ahead of time takes effect on the right date without anyone remembering to action it.
Frequently asked
Can I run payroll for more than one company?
Yes. Multiple companies and multiple pay frequencies run through the same process, so a group does not need a separate system per entity.
Can I reissue a payslip?
Yes, and the reissue is traceable. Corrections should be visible rather than quietly replacing what was already sent.
An employee wants an advance. How is it recovered?
Record the advance and set the recovery, and it is taken across the periods you chose. Both sides can see what is left.
Can I pay everyone in one bank file?
Bulk SEPA payment files are produced for the major banks. Confirm the exact format your bank expects, because banks differ and a rejected file costs you a pay run.
How do I show someone's history of roles?
Position Structure keeps past, current and future positions, so a career is a record rather than a memory.
